An exciting new opportunity has arisen for a Band 3 Administrator to join our Mother and Baby Unit team on a full time, 4 month fixed term basis until February 2019 at Hellesdon Hospital, Norwich. 

The new Mother and Baby Unit will be opening in January 2019.  We are an NHS England Commissioned 8 bedded Unit and will provide specialist care for women and their babies with moderate to severe mental illness.

We are looking for someone who is:  extremely organised, works well under pressure, used to working to tight deadlines, flexible and adaptable to changing priorities. 

The successful applicant will need to be able to:

Act as a first point of contact for staff/visitors/service users/callers to the Mother and Baby Unit, ensuring queries are dealt with or redirected to the most relevant person.

To provide a secretarial and administrative service to the Mother and Baby Unit management and clinical teams, including typing, filing, audio-typing, copy-typing, photocopying and the use of management information systems and e-mail to support the smooth and effective running of the Unit. 

Deal with telephone, email and face-to-face enquiries from a variety of sources, providing information and directing and prioritising queries as appropriate to ensure efficiency and effectiveness of service delivery.

Organise, prepare, compile and distribute agendas along with supporting papers for multidisciplinary team (MDT) and departmental meetings and provide administrative support including minute taking.

Provide administrative support for a range of meetings and events organised by the Mother & Baby Unit e.g. organising dates, booking venues, organising equipment etc.

Effectively prioritising own workload and requests for administrative support by being flexible and highly responsive to meet deadlines.

Candidate Requirements:

  • Good understanding and working knowledge of the use of Microsoft Office, in particular Word and Excel
  • Excellent communication skills within a range of situations
  • Confident in dealing with patients, visitors and staff

Interviews will be held on 30th October 2018 however this could be subject to change.
